Administrative Assistant

Administrative Assistant (Part-Time)

The Cambridge-Ellis School(CES) is seeking a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the school’s leadership team and staff, assisting in daily office needs and managing our company’s clerical activities.

We are looking to fill this position as soon as possible.

Responsibilities

  • Coordinate Staff Absence Coverage and schedule Substitute Teachers
  • Organize and schedule admissions appointments and tours for leadership team
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of school reports and surveys
  • Develop and maintain a filing system
  • Maintain contact lists and update records regularly in databases and other platforms
  • Assist in prep for accreditation, licensing, annual audit
  • Distribute mail to appropriate staff members, including opening/scanning invoices
  • Assist Development Director in gift and donor data entry
  • Prepare school mailings
  • Assist in event preparation
  • Other administrative/clerical duties as assigned by the school’s Leadership Team

Requirements

  • Proven experience as an administrative assistant, virtual assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines; Apple products
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

Schedule & Benefits

12 Month Position, btw. 20-25 hours per week; Mon-Friday 7:00am-12:00pm (some flexibility with daily schedule), with the possibility of additional hours as determined by Director.

Substitute Teachers

The Cambridge-Ellis School, Cambridge, MA is seeking Substitute Teachers for the 2017-18 school year. Positions are available for both the Day Program (8:00 – 3:00) and/or the afternoon Language Program (3:00 – 6:00). EEC preschool teacher certification is preferred; CES is a non-profit, NAEYC accredited school serving children ages 2-5 years old. We provide a warm, nurturing and stimulating learning environment through emergent curriculum planning and by using an inquiry-based approach for teaching and learning. Our unique language program offers immersion language classes in Chinese Mandarin, French, Spanish, or English for preschoolers. Toddler Head Teacher for 5-months Maternity Leave

The Cambridge-Ellis School in Cambridge, MA is seeking a temporary, full time Toddler Head Teacher (5-months Maternity Leave Coverage position) starting in January through the end of our school year.

The ideal candidate is EEC toddler lead teacher certified, and has a MA in Early Childhood Education. We are seeking individuals who are familiar with child-centered, emergent curriculum and the social-emotional development of young children.
